About the Role

Divine Renovation is seeking a highly skilled, proactive, and strategic Executive Assistant (EA) to provide top-level support to the President. The EA will be a key partner in enabling the President to focus on strategic leadership and organizational growth by managing priorities, scheduling, communications, and high-level initiatives. This role requires exceptional discretion, efficiency, and professionalism, along with the ability to operate in a fast-paced, mission-driven environment.

Key Responsibilities:

  1. Executive Administration & Strategic Coordination
  • Serve as the primary gatekeeper for the President’s schedule, ensuring optimal time management and prioritization.
  • Manage and coordinate complex travel arrangements (domestic and international), including logistics for conferences, board meetings, and events.
  • Handle confidential and time-sensitive information with discretion.
  • Oversee task management, ensuring timely follow-up on action items and commitments.
  • Act as the first point of contact for key stakeholders, including senior leaders, donors, board members, and ministry partners.
  • Ensure meeting agendas and preparation materials are provided in advance.
  • Prepare, edit, and manage documentation, presentations, and reports.
  • Manage the President’s email correspondence, responding on behalf of the President as needed.
  • Organize and maintain confidential files and records.
  • Oversee expense tracking and budget management for the President’s office.

 

  1. Board & Senior Leadership Support
  • Provide administrative support to the global board and regional boards, including scheduling meetings, preparing agendas, drafting minutes, and tracking follow-up actions.
  • Work closely with the Senior Leadership Team (SLT) to ensure alignment on organizational priorities and strategic initiatives.
  • Assist in preparing reports, presentations, and key communication materials for internal and external audiences.
  • Support SLT members in tracking and completing tasks aligned with organizational priorities.
  • Collaborate with the SLT to streamline communication and project coordination.

 

  1. Communication & Relationship Management
  • Represent the President in written and verbal communications as needed, ensuring professionalism and clarity.
  • Draft, edit, and review key correspondence, internal updates, and donor communications.
  • Support the President in relationship management, including maintaining contact records and tracking key engagements.
  • Coordinate executive briefings and ensure thorough preparation for all meetings and engagements.
  • Serve as a key point of contact between the President and various stakeholders, including senior leaders, donors, board members, and ministry partners.

 

  1. Special Projects & Organizational Initiatives
  • Take the lead on strategic initiatives and special projects on behalf of the President, collaborating with key teams to drive progress.
  • Work closely with the President on culture-building and organizational development initiatives.
  • Assist in planning and delivering high-level events and engagements.
  • Monitor organizational priorities and support decision-making through research, reporting, and project management.
  • Assist with donor relations initiatives, supporting the development and stewardship of major relationships.
  • Track and monitor both activities and outcomes for key initiatives to ensure accountability and progress.

 

  1. Personal & Miscellaneous Support
  • Provide direct support to the President for personal commitments, appointments, and travel as needed.
  • Maintain flexibility and adaptability to respond to emerging needs and priorities.
  • Offer a steady, solutions-oriented presence to support the President’s dynamic role.
  • Adapt to evolving responsibilities and needs, providing a steady and calm presence amidst changing priorities.

Qualifications:

  • Minimum 5–7 years of experience as an Executive Assistant, preferably supporting a C-suite executive, president, or senior leader in a non-profit, ministry, or corporate setting.
  • Proven experience managing high-level calendars, travel arrangements, and executive communications.
  • Strong project management and strategic coordination skills.
  • Experience supporting boards, including governance processes and minute-taking.
  • High proficiency in Microsoft Office Suite, Microsoft Teams, and other digital productivity tools.
  • Familiarity with Catholic ministry and mission-oriented organizations is highly desirable.
  • Ability to travel as needed and flexibility to work outside standard hours to accommodate global commitments.
